EPOS Annual Meeting Hosting
Rules for the Organisation of the Annual Meeting
The Local Host/National Paediatric Orthopaedic Society has always played a key role in organising the EPOS meeting. To ensure continuity, the EPOS Board, through the Central Office, will coordinate directly with the local PCO appointed for the event. The Local Host will collaborate with the Central Office and the EPOS Board to ensure the congress's success within the financial guidelines set by the Board.
The Congress is held in a different European country each year in a city that is easily accessible. Applications are invited from National Paediatric Orthopaedic Societies or individual EPOS Members, provided they have written support from their National Society.
Application Process
- Applications open in May every year.
- Applications are submitted 4 years before the Annual Meeting (e.g., for the 2028 Annual Meeting, applications must be submitted in 2024, and voted in 2025).
- The Local Host must not make independent financial or contractual commitments but may reserve an option on the congress venue.
- The submission deadline is 30 September of the year before the final selection. Applications must be submitted as a single PDF document to secretariat@epos.org.
- Applications should include a preliminary congress plan, outlining logistics, estimated attendance, and a congress budget.
Selection Process
- The Central Office will review applications.
- Approved applications are presented to the Executive Committee.
- The Board selects up to three options, which are voted on by the General Assembly at the EPOS Annual Meeting.
This approach allows EPOS to strategically select congress locations that ensure strong educational and financial outcomes. Applications from PCOs will not be considered.
